PROCESS ONE

Created a Customer Orders Form that searches for a customer by last name or zip... then the user hits the F7 Key to open an orders form to begin filling out the details of a new order for the selected customer...

 

Also developed an add / edit zipcode form



PROCESS TWO

Created an Orders Form - With order details subform where the user enters all the products and quantity.
Freight & sales tax charges are added to the order automatically depending on amount and state of purchase.

Also fashioned a products add / edit form allowing management to add / edit products and product categories for group by reports. Also added sales tax yes or no field.



PROCESS THREE

Developed a Credit Card Charge Form - After the user finishes the order detail he clicks on the Charge button to bring up the charge form - the amount of the order is automatically pre-loaded but can be user changed - then the user only enters card type, card#, card exp, cardholder name and then clicks Process Credit Card button and in a second - authorization (with authorization number) or decline mesage appears.

 

PROCESS FOUR
(Assembled an automated workflow process for when the charge is accepted)

If the charge is accepted then:

1) The charge form closes.
2) An invoice with customer detail / credit card detail / order detail prints out.
3) The orders form closes and the customer form receives the focus.
4) The invoice report also shows the username for whodunit audits.

Designed a message box that is hard to miss if the charge is declined - a red form pops up to clearly notify the user that the sale did not take place (no invoice is printed). The charge form auto closes.

PROCESS FIVE

Designed the workflow process so that if a void / chargeback / refund needs to be made the user clicks on the Refund button seen in process two and up pops a payments screen showing all the charged payments for this specific order only and listed by date made. By double clicking a specific payment amount -up pops the Refund form with the all refund info pre-loaded...

 

PROCESS SIX

We created the Chargeback / Refund / Credit form to have the payment information reloaded for a Void refund (pre batch) from the payments table (includes transaction batch status) and if the charge has been batched then after the Process Credit Card Refund button is clicked another form opens to request the full credit card number which is needed for a full chargeback credit action...

PROCESS SEVEN

This is the input form to request the full credit card number which is necessary for post batch transaction refund credits...

 

PROCESS EIGHT

Again, if for some reason the chargeback refund process fails to complete the user is first notified with a simple message box - we also added this so the user would clearly understand the refund failed.


PROCESS NINE

Developed a form and workflow process to batch out all the last transactions since the last batch...

When all the charging is done its time to batch out all tranactions and run the Batch Report. The
manager just clicks the inquire button which requests the transaction information from the credit card processing company and if there are any tranasactions to batch it shows how many transactions in the count textbox, how many batches in the batches textbox and what the $ balance is - sales and credits. If the count is more than one and the balance is greater than $0.00 the settle button is enabled and when clicked all transactions will be automatically batched...

PROCESS TEN

We constructred the charge and refund process to add all transactions info into a payments table for auditing purposes (includes the username login handle). The transaction information with username is also added to the daily batch report where all sales / credits are grouped by username with a last page grand total breakdown by credit card type (Amex, Visa, MC, etc) and action type (charges, voids, refunds). Sample below...
